Smile Genius Clinician Portal User Guide

The SmileGenius Clinician Portal is designed to make managing your Smilelign cases simple, intuitive, and efficient. In this online guide, you’ll learn how to add new patients, upload scans and prescriptions, review treatment plans, share them with your patients, and request refinements when needed. Each section is easy to follow, helping you navigate the full SmileGenius workflow with confidence, from your very first case through to ordering end-of-treatment appliances.

Adding a Patient

In the top right of your portal screen, next to the search bar, select ‘New’, then select ‘Patient’:

Fill in the patients details in the pop-up form. Only the patient’s name/ID code is required by the lab, but you may fill in the full details if you wish.

In your new patient’s profile, select the ‘Prescription & Files’ tab, as shown below.

If you have scan files available, you may drag and drop these into the corresponding scan file section.

Fill in the prescription form below with as much detail as possible. Then, check the Terms and Conditions, and data consent boxes before submitting your case.

Notification Settings

In the top right of your portal screen is a notification bell symbol.

Select this bell and any notifications you have will show as a list. In the top right of this screen is also a setting cog.

Within these settings, you’ll be able to alter which notifications you receive and how you would like to receive them e.g. via email or via a notification within the portal. The preferences you can select are shown below:

Viewing Your Plans

On the left-hand side of your portal screen, select the ‘Patients’ section.

All patients will show here in a list format. Simply click the patient you wish to review.

Within the patient’s profile, you will see their journey status and patient details at the top.

Scroll down to view their full treatment plan(s). This includes a 3D animation of treatment, technical specifics of the case, attachment requirements and IPR chart (where applicable).

You can flick between different plan versions using this dropdown, which appears above the treatment animation:

Sharing a Plan with Your Patient

Before you can share a specific plan with a patient, you need to invite them to the app. To do this, find their profile in your patient list and select the send app button as shown below:

Enter the patient’s email address, as instructed, and they will receive an email invite containing a link to download the patient app corresponding to your portal.

Once they have downloaded the app and set up their login details, you can forward on any specific plans to them. Choose the plan you want to send, select the ‘Approve Plan’ dropdown and then ‘send to patient for approval’ as shown below:

Requesting a Refinement

If you have taken new scans, or have updates to add to a prescription, find the correct profile from your patient list. Then select the ‘Prescription & Files’ tab as shown below.

If you have new scans to add, select the ‘New Scans’ button. You can then drag and drop your files into the corresponding boxes

If you wish to update the prescription, select the orange ‘Edit’ button just above the tooth chart portion of the prescription.

This will allow you to alter and/or add to your prescription and when you submit the updates. It will be saved as a ‘Version 2.0’ prescription so your original will not be lost.

Treatment Timeline / Starting Treatment

Once the first aligners have been fitted, choose the ‘Start Treatment’ button that shows above the plan animation within the patient’s profile, as below:

Once you have confirmed this, scroll down, and a timeline will appear showing you the expected dates of each aligner change, attachment change and IPR session as planned. You will also receive notifications in the lead up to IPR and attachment sessions.

If you need to manipulate any of the dates, simply select the calendar icon on the relevant aligner and input the correct date as below:

Approving a Plan / Requesting a Modification

To approve a case, select the correct treatment plan version, then the ‘Approve Plan’ dropdown along with the desired option as below:

A pop up will appear with the order details already populated. Check that the selected treatment plan that you are approving is the correct one, and then ‘Place Order’ at the bottom.

This will send a notification to the lab to get started on the order.

To modify a plan, simply select the ‘Modify’ button as shown above and enter the details of you request for alteration.

Ordering an End of Treatment Item/Package

Select the correct patient from your patient list. Once in their profile, select the ‘Orders’ tab as shown below. Click ‘Place Order’, then select ‘Appliances’.

There are multiple appliances that can be ordered, so please look through them or search for your required item as below:

Further down you will see that you can add notes to the order e.g. please scallop retainers and also drag and drop your scans into the relevant boxes, then ‘Place Order’.
